The Opportunity:

Our client is an international and multicultural, fast-moving intellectual services provider supporting high-value decision-making across industries. The environment requires discretion, agility, and top-tier administrative support. The team is constantly growing and now looking for a seasoned Office Administrator to join its team in Vilnius.

Our expectations for the candidate:

• 2+ years of experience in administrative roles, ideally in a fast-paced or scaling environment;
• Proven ability to prioritize and execute multiple tasks under tight deadlines;
• A bias toward action — you’re known for solving problems, not just flagging them;
• Strong attention to detail, organization, and follow-through;
• Excellent communication and interpersonal skills;
• Proficiency with Microsoft Office and C1 English and Lithuanian language skills
• Experience working with cross-functional teams
• A “fix-it” mindset and the drive to create order out of chaos

Tasks and responsibilities:

• Own and drive administrative processes from end to end, ensuring nothing falls through the cracks;
• Proactively manage calendars, meetings, and schedules for leadership;
• Coordinate internal communications, follow-ups, and documentation;
• Support procurement, invoicing, and budget tracking tasks as needed;
• Maintain accurate records, files, and documentation systems;
• Serve as a reliable point of contact for both internal and external stakeholders;
• Identify bottlenecks and inefficiencies in workflows, propose improvements, and implement solutions.
